Schedule:  Monday to Friday 7:30 am to 5:00 pm

Job Summary

Company is seeking a highly organized and detail-oriented Administrative Coordinator/Receptionist to join our team. The ideal candidate will provide comprehensive administrative support to ensure the smooth operation of our office. This role requires excellent communication skills, a proactive approach, computer literacy, and the ability to multitask in a fast-paced environment.

Key Responsibilities

  • Answer all incoming office phone calls
  • Intake customer inquiries and schedule appointments for the sales team
  • Maintain schedule of the sales team
  • Manage and maintain office files and records, ensuring they are organized and up-to-date
  • Maintain office supplies inventory by checking stock and ordering supplies as necessary
  • Maintaining and organizing the common areas of the office 
  • Support the Office Manager in HR-related tasks, including onboarding new employees and maintaining employee records
  • Use QuickBooks Online to generate and send invoices to customers
  • Manage and maintain employee time sheets and payroll records
  • Schedule roofing inspections with local building departments
  • Assist with special projects and perform other administrative duties as assigned

Qualifications

  • High School diploma required
  • Associate or bachelor's degree preferred
  • Minimum of 3 years of experience in an administrative role
  •  Ability to maintain a high level of confidentiality with regard to  employee information discovered in HR processes
  • Excellent written and verbal communication skills
  • Strong organizational and time management abilities
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Proficiency in QuickBooks Online
  • Attention to detail and a high level of accuracy
  • Proficient in English and Spanish languages
  • Ability to type at least 50 word per minute
  • Experience with dispatching
