POSITION SUMMARY:
The Company is a private real estate investment firm based in Santa Cruz with a large commercial rental portfolio.
We are seeking an Associate Director of Property Management to join our team. This person will be responsible for the oversight of property maintenance, tenant communications, property accounting, reporting and leasing. The role includes collaboration with the property management team, development team, tenants, vendors, accountants and senior management. The position requires strong organizational skills, broad real estate experience, sound judgment, and close attention to detail.
ESSENTIAL JOB SKILLS AND QUALIFICATIONS:
Property Oversight
Maintenance. Comprehensive understanding of building systems, property maintenance, and capital improvement requirements across a commercial real estate portfolio.
Capital Projects. Experience managing construction, tenant improvement, and capital projects from planning and budgeting through execution and closeout. As well as strong skills in reviewing scopes of work, budgets, schedules, and change orders, with the ability to manage risk and control costs.
Financial Oversight
Budgets. Experience overseeing the preparation of annual operating and capital budgets for commercial properties, including forecasting rental rates, vacancies, and capital expenditures
Performance. Ability to analyze property performance against budget, identify variances, benchmark operating costs, and clearly communicate findings to senior leadership
Loan Compliance. Working knowledge of commercial loan agreements and covenants, with the ability to ensure leasing and property operations remain in compliance.
Tax Issues. Familiarity with federal income tax considerations related to rental real estate, including depreciation, cost segregation, free rent, and tenant improvements, and the ability to communicate relevant developments to stakeholders.
Insurance
Management. Experience selecting and managing insurance brokers and coordinating coverage for diverse real estate assets, including commercial properties and land holdings.
Leasing
Negotiations. Demonstrated expertise in negotiating commercial leases, including the ability to analyze and evaluate lease economics for complex transactions.
Documentation. Strong working knowledge of lease documentation, including letters of intent, counteroffers, leases, nondisclosure agreements, and related legal instruments, with the ability to collaborate effectively with legal counsel.
Broker Relations. Proven ability to build, manage, and sustain productive relationships with leasing brokers and tenant representatives, including experience navigating broker commission structures.
Lease Monitoring. Strong organizational skills to monitor lease expirations, proactively initiate renewal discussions, and manage leasing timelines.
Tenant Relations. Excellent tenant-relations skills, with a service-oriented mindset and the ability to collaborate with property management teams to address tenant needs in a timely and professional manner.
