We are an established and growing property management company seeking a detail-oriented and motivated Leasing & Administrative Assistant to join our team. This position plays an important role in supporting our property managers with leasing activities, administrative tasks, and day-to-day operations.

The ideal candidate is highly organized, professional, customer-service oriented, and able to thrive in a fast-paced office environment.

Key Responsibilities

  • Assist property managers with daily administrative tasks and operational support
  • Coordinate and schedule property showings with prospective tenants
  • Respond to rental inquiries via phone, email, and online platforms
  • Process rental applications and assist with applicant screening procedures
  • Prepare lease documents and assist with move-in/move-out coordination
  • Maintain accurate records in property management software and internal systems
  • Provide professional and courteous customer service to tenants, applicants, vendors, and property owners
  • Assist with marketing rental listings and maintaining online property listings
  • Organize and maintain digital and physical files
  • Support office operations including scheduling, correspondence, and document preparation
  • Assist with other administrative and leasing tasks as needed to support the team

Qualifications

  • Previous administrative or leasing experience preferred (property management experience is a plus)
  • Excellent computer skills and proficiency with Microsoft Office (Word, Excel, Outlook)
  • Strong organizational skills with the ability to prioritize and manage multiple tasks
  • Excellent written and verbal communication skills
  • Strong attention to detail and follow-through
  • Ability to work both independently and collaboratively within a team
  • Ability to remain calm, professional, and solution-oriented in a fast-paced environment
  • Demonstrated integrity, confidentiality, reliability, and professionalism
  • Strong customer service mindset

Additional Preferred Skills

  • Bilingual English/Spanish preferred
  • Experience with property management software (AppFolio, Buildium, Yardi, etc.) is a plus
  • Familiarity with leasing procedures and rental application processing is helpful
