Lead Accounting / Bookkeeper

Position Overview

The Paradise Park Masonic Club is a private, member-only community located in Santa Cruz County.  We are seeking an experienced Accounting / Bookkeeper to manage day-to-day accounting functions and provide general office administrative support.   This is an in-office, part-time position requiring strong attention to detail, sound accounting knowledge, and effective communication skills. 

Work Schedule & Compensation

  • 25 – 30 hours per week, Monday through Friday
  • Schedule to be determined based on operational needs.
  • $25 - $30 per hour, based on experience.

Qualifications

  • Minimum three years of full-charge accounting/bookkeeping experience
  • At least one year of experience using QuickBooks or related accounting software platforms
  • Strong understanding of double-entry accounting, debits and credits, journal entries and general ledger management
  • Experience with monthly and year-end close procedures and processes.
  • Advanced proficiency in Microsoft Excel and working knowledge of Microsoft Office 365
  • Strong organizational, multitasking and customer services skills
  • Excellent written and verbal communication skills
  • Experience with coordinating and working with various community volunteers
  • HOA or similar management experience is a plus but not required.

Key Responsibilities

Accounting Systems & Tools

  • Manage and maintain accounting systems platform such as QuickBooks
  • Utilize Microsoft 365 Teams and other office productivity platforms.

Accounts Payable & Receivable

  • Process accounts payable and receivable, including invoice entry, GL coding, and payment scheduling
  • Maintain vendor records, W-9s and 1099 reporting
  • Process accounts receivable, including invoice entry, GL coding, and payment applications.
  • Monitor and manage member accounts and collections in accordance with approved policies.

Payroll

  • Oversee our end-to-end payroll process using outside payroll service provider.
  • Gather, verify and input employee hours, deductions, bonuses, and salary changes into the payroll system.
  • Act as the primary contact for the payroll service provider, troubleshooting issues and ensuring timely processing.
  • Review and audit payroll data to ensure accuracy in wages, tax withholdings and benefits deductions.
  • Other duties to ensure compliance with federal, state and local labor laws.

Banking & Cash Management

  • Perform monthly bank reconciliations for multiple accounts
  • Manage intercompany transfers and cash movement.
  • Forecast cash flow requirements.

Financial Reporting & Controls

  • Maintain accurate general ledger and account reconciliation.
  • Prepare journal entries and analyze accounts for discrepancies
  • Prepare and maintain financial statements, including balance sheets, income statements, and cash flow reports.
  • Monitor budget variances.

Audit & Compliance

  • Maintain audit-ready financial records and documentation.
  • Support CPA and external audit requests
  • Document accounting procedures and workflows
  • Ensure compliance with federal, state, and local regulations.
  • Advise management and Board of Directors on compliance matters.

Additional Duties

  • Coordinate with CPA, Treasurer and Board of Directors as needed
  • Coordinate with Financial Oversight Committee
  • Perform other related duties as assigned.
