JOB TITLE: Development Assistant


Development Assistant, under general direction of the Executive Director, performs a variety of skilled administrative and clerical duties directly related to fundraising activities. These include greeting visitors, answering calls, maintaining databases, sending mass mailings, processing donations and acknowledgments, providing support for events. The Development Assistant provides general office support and may be needed for special events for the foundation.


  • 16 hours per week, up to 19.5 hours per week, non-benefitted position; preferred schedule is four days a week
  • Mandatory time off taken when foundation office is closed during winter break
  • Schedule: To be determined with supervisor within the hours of 8:30-5:00 Monday - Friday
  • Occasional evening and weekend hours for foundation events


  • Answers phone and greets visitors in a professional and sensitive manner
  • Processes all incoming gifts to the foundation
  • Process credit card donations, tracks recurring gifts, matching gifts, gift in kind donations and pledges
  • Prepare and mail acknowledgment letters
  • Create/edit constituent records in database and maintain records to ensure the integrity of the database
  • Backup for daily incoming/outgoing mail processing
  • Assist in the fundraising efforts of the college in various ways when needed
  • Assist with mailings
  • Provide support to the Events Coordinator which may include tasks that require driving
  • Provide excellent customer service to volunteers, donors, prospects, and college personnel
  • Generate memos, emails and letters with effective writing skills
  • Oversees office inventory and office equipment and maintains physical environment and condition of Foundation office space and equipment


  • Ability to serve as an ambassador of the Cabrillo College Foundation as the first point of contact for telephone calls and visitors
  • Experience working in an office environment
  • Excellent typing skills, at least 45 words per minute
  • Proficient computer skills including word processing, file management, and data entry
  • Experience working with a database
  • Experience performing mail merges from a source database to a Word document
  • Demonstrate ability to be accurate, organized, and detail oriented
  • Ability to follow oral directions and written procedures
  • Ability to work well with others and be self-motivated in your work
  • Excellent written and oral communication skills including spelling, grammar and punctuation
  • Excellent telephone manner and ability to interface positively with a variety of people
  • Ability to protect and maintain confidential information


  • Ability to work at a computer workstation for periods up to four hours at a time
  • Ability to operate personal vehicle for CCF business and possess current valid California driver's license and insurance
