Job Title: Financial Manager
Supervisor: Administrative Director
FLSA Designation: Full-time, exempt
JOB SUMMARY: The Financial Manager under the auspices of the Administrative Director oversees all financial matters of New Life Community Services (“NLCS”). The Financial Manager will be responsible for ensuring that all financial documents are kept in compliance with all state and federal laws and other organized governing bodies or contract providers. The Financial Manager will be responsible for providing proper financial reports, including tracking of all income and expenses, contractor billing, assists in training and orientating appropriate staff on finance related systems, monitoring cash flow/ funding, and providing detailed reports as needed.
Manage and implement all insurance and Medi-Cal billing
Prepare monthly and annual financial statements and reports for NLCS management, the board, government entities and funders
Data entry and reconciliation of monthly cash receipts and check registers for NLCS programs (Fair Ave, Gemma and Beach RV)
Record revenues and expenses to ensure they are recorded appropriately on a monthly basis. Establish and maintain accounting systems for each division as necessary.
Review and schedule payment of bills for NLCS programs
Invoice third-party funders (Contracts) and prepare worksheets, forms and budgets as required by funders
Prepare monthly account and bank reconciliations, including management of bank accounts to ensure funds are present when needed
Work with NLCS staff to assist with weekly client billing and reporting as needed
Assist with financial and tax audits
Prepare organization reporting requirements and review tax returns, including federal and state taxes, payroll tax returns, City Hotel tax returns and tree lot sales tax returns.
Work with appropriate governmental agencies so that the organization maintains its legal and non-profit status
Assist with annual insurance applications for Fire and Liability, D&O, Professional Liability, Auto, Worker’s Compensation and any other needed insurance entities
Assist in financial documentation and monitoring as needed
Perform other tasks as assigned by supervisor, as well as when needed in emergencies, and/or supporting other staff with supervisor approval.
Bachelor’s or higher degree in Accounting or Finance
Strong understanding of GAP (general accounting practices)
CPA designation preferred
5+ years accounting/finance experience
1+ year Medi-cal and insurance billing experience
2 years working for a non-profit, preferably a residential licensed facility
Excellent communication and interpersonal skills, with the ability to present information or ideas clearly in English, both orally and in writing. This includes ability to proofread and use correct spelling, grammar and punctuation, and ability to write correspondence and memos.
Ability to prioritize competing tasks and meet deadlines.
Ability to understand and follow instructions, reason and make judgments as they relate to the job or situation.
Ability to interface effectively with all levels of employees, the public and with clients; to diffuse hostility when needed.
Proficiency in Microsoft Office, Office 365, Accounting Software, insurance/ Medi-cal billing programs and other Web applications.
Ability to problem solve and resolve conflicts especially in high pressure situation.
Ability to adapt to situations and understand other's feelings and personal viewpoints.
Ability to work with and relate to other professionals.
Ability to work and function as a team member.
The job is performed in an enclosed climatically controlled, busy office at 707 Fair Ave, Santa Cruz.

The job is primarily sedentary with walking and standing as is necessary to carry out the job duties. Normal lifting and/or carrying is limited to approximately 15 lbs., with occasional lifting up to 25 lbs. Heavier items are moved by using proper material handling equipment, assistance from another person or by work order request.
Normal or corrected talking, hearing and seeing abilities are necessary to perform the required tasks.
