Primary role is the overall supervision of the four (4) person Maintenance Team, one (1) maintenance supervisor and two (2) PA positions, coordination, administration and budgeting of maintenance needs for Encompass. The Facilities Manager will work with the Property Manager to assist in budget preparation and monitoring, lease management, preparation for annual audits, property inspections, and other duties as assigned.
DUTIES & RESPONSIBILITIES:
-Directs and oversees the maintenance team insuring timely, accurate maintenance, repairs, preparation of inspections/reviews and preparation of apartments for rental.
-Holds daily property maintenance meetings to distribute work orders and notices. Conducts monthly safety trainings for maintenance Staff.
-Oversight and overall supervision of SpiceWorks maintenance modules for work orders. Monitors work order requests daily to ensure work is complete or rescheduled, tickets are closed, supplies are ordered and vendors scheduled when needed.
-Reviews invoices and manages receipt tracking for business credit cards and Home Depot accounts.
-Hires and coordinates outside vendors to include issuing W-9s, insurance information and independent contractor agreements when applicable. Gets bids and negotiates contracts for janitorial and landscaping services and for jobs costing over 10K.
-Maintains annual, semi-annual, and on-going preventative maintenance schedules.
-Schedules and performs property inspections. Performs quarterly safety/property inspections at all Encompass program sites. Coordinates with Housing Authority to schedule annual unit inspections. Ensures all vendor work was completed and the work done satisfactorily.
-Oversees the agency’s Fleet Management Program.
-Responsible for directing after-hours emergency calls as needed. Communicates with Directors and staff when health and safety concerns arise.
-Is an active member of the Encompass Safety Committee. Responsible for running practice drills, the monthly safety inspection for Admin building, safety and first aid equipment upkeep, conducting monthly safety trainings for the maintenance team and assists with worker’s comp events.
-Responsible for tracking the maintenance team’s successes, maintenance training, and employee reviews.
-BA or BS preferred
-5+ years of experience in property management and maintenance planning
-2+ years of staff management experience
-Ability to maintain confidentiality in email communications and verbal discussions
-Ability to handle tenant communications in a compassionate and thoughtful way
-Strong knowledge of Microsoft Office Suite, specifically Word and Excel
-Knowledge of HUD REAC requirements, Cal OSHA and CARF Accreditation for a successful site inspection and outcome.
-Spiceworks ticketing module
-Prior vendor scheduling experience

Our total compensation package includes a comprehensive medical and dental insurance plan for full time employees, 403(b) retirement plan, paid holiday, sick time, and 17 days of paid vacation, pro-rated for positions less than 40 hours a week.
