Description:

HR Management:

  • Advises and guides in the effective development, interpretation and application of employment policies, programs, processes and regulatory compliance
  • Consults with executives and managers on employee relations issues. Includes documentation of performance deficiencies and termination discussions with outside consultants/legal before final action
  • Manages employee life cycle from new hire orientations/onboarding to terminations
  • Participates in annual renewal for corporate Workers Compensation, General Liability and Property insurance policies. Assists with annual audit providing payroll and sales data to ensure premium accuracy
  • Assists outside agencies in annual compliance audits including 401(k) plan and bank audits
  • Responds to requests for VOE (verification of employment), Unemployment claims and audits
  • Maintains positive employee relations; provides guidance and interpretation of HR programs. Communicates with and disseminates important information to all levels of staff
  • Coaches and develops assigned staff; conducts monthly 1-2-1's and annual Performance& Career Development Appraisals
  • Maintains records and compiles statistical reports for HR data including turnover, attendance, performance/discipline records, training, etc. (use of HRIS software pending)
  • Serves on Corporate Community and Events Committees
  • Maintains knowledge of laws, regulations and best practice in employment law, human resources and talent management through professional development, research and educational opportunities
  • Maintains compliance with State corporate filings and record-keeping requirements
  • Manages company's LinkedIn Learning license program

Recruitment and Retention:

  • Manages full recruitment life cycle for open & future job requisitions (post, source, prescreen, schedule, background/reference checks, offer, onboarding)
  • Collaborates with management staff to identify KPIs for talent management process and to assess market competitiveness based on metrics
  • Receives and tracks resumes into master spreadsheet to maintain pipeline of candidates. Conducts phone interviews and provides relevant feedback to hiring managers to move candidate into interview phase
  • Submits offers of employment to selected candidates and notifies those not selected to close the loop and maintain positive relations for future opportunities
  • Participates in college career fairs for entry-level positions and identifies other sources of recruiting and/or networking conferences and events. Partners with outside recruiting agencies for executive-level or hard-to-fill positions
  • Participates in design improvement, development and implementation of the performance appraisal and career development process
  • Researches and assists in development of training programs that focus on goal achievement
  • Develops, initiates and maintains effective programs for retention, promotion and succession planning
  • Manages the maintenance and execution of the performance management system

Compensation & Benefits:

  • Manages all benefits programs ensuring the best mix of cost-effective total rewards that meets the organization's budget and fosters a culture to attract and retain top talent
  • Manages the organizations payroll functions, ensuring pay is processed on time, accurately, and in compliance with government regulations and best practices
  • Researches, analyzes and recommends competitive compensation, benefits, performance management and employee incentive programs to attract and retain top talent
  • Administers semi-monthly payroll transactions including earnings, benefits, garnishments, taxes, and all associated deductions
  • Maintenance of employee time records: hours worked and paid time off (vacation, holiday and sick)
  • Updates monthly payroll Journal Entry report for Finance to the General Ledger
  • Manages health and welfare plans including annual and new hire enrollments, changes and terminations. Analyzes and makes recommendations for annual health insurance renewal options
  • Reconciles monthly benefits statements and remits payments to insurance vendors
  • Oversees management of the 401(k)-retirement plan including enrollments, terminations, deferrals, company contributions, and annual compliance recordkeeping

Executive Administration:

  • Provides administrative support to Managing Director and Executive Team
  • Maintain records/minutes for monthly Executive Team meetings and sends follow-ups after each meeting
  • Plans, schedules, and coordinates setup of meetings and agendas for Executive Meetings and board meetings as needed
  • Responsible for sending out all internal corporate communications and ensuring messaging is in line with management expectation

SKILLS/ABILITIES:

  • Excellent verbal and written communication skills

  • Thorough understanding of recruiting methods, best practices
  • Strong analytical and problem-solving skills
  • Proficient with payroll and/or HRIS software
  • Proficient in Microsoft Office Suite or related software
  • Excellent time management skills with proven ability to meet deadlines
  • Ability to maintain confidential and sensitive information

EDUCATION and/or EXPERIENCE: Bachelor's degree preferred or minimum 8 years' HR Management experience. SPHR-CA or PHR-CA certification desired.

LANGUAGE SKILLS: Ability to read, analyze, and interpret general business periodicals, professional journals, and sales and marketing reports. Ability to write reports, business correspondence, and procedures with conformance to the prescribed style and format. Ability to effectively present information and respond to questions from employees, managers, clients, suppliers, vendors, other stake holders and the general public.
