Summary:
Under the supervision of the Property Manager, the Property Assistant will perform property management duties to provide high-quality housing to special needs populations throughout Santa Cruz County. This position will also be responsible for the receptionist duties at 380 Encinal Street.

Responsibilities:
-Keep accurate tenant records using Property Management Software.
-Prepare, send, and document correspondence with tenants regarding rent, fees, and other correspondence as assigned.
-Maintain tenant files with all copies of correspondence, leases, etc.
-Maintain all waiting Lists.
-Assists in annual and interim recertification functions.
-Prepare HAP vouchers for monthly billing and special claims for vacancies.
-Prepare Security Deposit Refunds/billings upon tenant move-outs and transfers
-Responsible for rent collection, including issuing receipts and logging receipt of payment.
-Assist in issuing notices for failure to pay rent and oversight of the delivery of three-day notices.
-Responsible for maintaining and using Rentrac’s for rent payments, assist tenants in signing up for the program, and troubleshooting problems.
-Assist in preparation of communiques to tenants, including notices to enter and general communication required for maintenance repairs.
-Maintain the key box, updating records as needed, ordering new keys, and issuing keys to staff. Updating the key log as necessary upon move out and move in’s where locks are re-keyed.
-Assist in maintaining vendor files, including contracts and estimates for maintenance repairs and improvements.
-Assist Maintenance Manager with agency Fleet Management duties, including scheduling service, vehicle purchases, leases and disposals, ordering cards, issuing PINS, and billing reconciliation for both Enterprise and WEX.
-Write purchase vouchers for all receipts generated by the maintenance team.
-Assist Maintenance Manager researching and ordering supplies, calling vendors for repairs, and assisting in coordinating/tracking improvement projects.
-Answer and direct calls to the appropriate party
-Screen client calls and refer to correct resources as needed
-Greet clients and interface with counselors to schedule rooms as needed
-Process, sort, and deliver mail. Unpack Courier bags and provide money bags to accounting when the courier returns to 380 Encinal
-Order office supplies, prepare and submit invoices for payment
-Restock bathroom supplies in between cleanings
-Restock break room supplies, do Costco runs as needed
-Assist with meeting room set-up and tear down for Encompass Board meetings, Encompass All-Managers meetings and trainings

Qualifications:
-High School Diploma or GED required
-2+ years of related office/clerical experience
-Very strong computer skills required in MS Office
-Excellent written and verbal communication skills
-Strong organizational skills

Wages & Benefits:
Our total compensation package includes a comprehensive medical and dental insurance plan for full time employees, 403(b) retirement plan, paid holiday, sick time, and 17 days of paid vacation, pro-rated for positions less than 40 hours a week.
