The Master of Arts in Education and California Teaching Credential (MA/C) Program Assistant will serve as the primary support position to the Faculty Director of Teacher Education who oversee the year-round, five-quarter MA/C program. The program admits and graduates 60-65 students annually. The Program Assistant has the primary responsibility for training student teachers and supervisors on the implementation and use of the MA/C program's data information systems in support of the Teacher Performance Assessment; assists with the communication about and the coordination of the MA/C student placements in K-12 schools; coordinates, collects and analyzes data for individual student and program evaluation; schedules the Teacher Education Committee (TEC) meetings and keeps the TEC minutes; coordinates the annual Program Assessment for California Teachers (EDTPA); schedules and coordinates all of the MA/C events; and provides administrative support to the Faculty Director.

50% - Administrative Support

Assist the Director and the MA/C Coordinator/Credential Analyst with the development and final production of all program assessments, accreditation reviews, and reports as requested by the CTC and UCOP; Serve as the MA/C Program's primary staff contact:

• Refer student inquiries (current and prospective) to the appropriate individual or unit, answer student questions, distribute student ID Stickers on a quarterly basis, and respond to Instructors' requests for assistance with the teaching labs' equipment or curriculum kits.

• Maintain program and Teaching Lab inventories such as purchasing supplies (via CruzBuy, Purchase Orders, or campus recharge).

• Coordinate and schedule US Constitution exams (approximately 8 times per year);

• Staff the multiple program meetings by taking/disseminating meeting minutes, preparing/distributing agendas and supporting materials, and archiving minutes and materials electronically using Google Docs and in hardcopy form.

• Regular program meetings include: Teacher Education Committee, and Teacher Supervisors meeting.

• Update and maintain inventory of program literature, forms, and handbooks.

• Maintain electronic copies and hardcopies of current program documentation and/or forms as well as program archives.

• Update and maintain the MA/C website.

• Schedule and organize quarterly TPE evaluations of students by Cooperating Teachers and Teacher Supervisors.

• Maintain student Teacher Performance Expectation test results and disseminate to program staff and Teacher Supervisors;

• Assist with training and supervision of Student Assistants.

• Quarterly collection and recording of Teacher Supervisor quarterly evaluation data.

• Quarterly collection of MA/C syllabi; coordinate twice annual student evaluations of Cooperating Teachings.

• Prepare and disseminate Cooperating Teacher gifts twice annually.

• Coordinate placements for EDUC 180.

• Maintain student email list, cohort and/or student lists, and distribute to staff and faculty when needed.

• Complete miscellaneous projects as needed.

30% - Events Coordination

Work with other campus units (e.g., Registrar, Summer Session, Summer Conference Services) or external agencies (Santa Cruz County Office of Education) to secure rooms for large MA/C events, working with campus Risk Services when required.

Oversee event coordination logistics such as catering, equipment check-out and set up, set-up and arrangement of rooms, flyer development and distribution, dissemination of special event announcements to campus and community at large, coordination with TAPS for parking attendants and permit distribution.

Provide technical assistance with equipment (e.g., data projector and audio visual equipment) to guest speakers, and arrange for video recording and/or professional photographers.

15% - Program Evaluation

Compile all program evaluation data, prepare results and complete reports on candidate performance and program effectiveness.

Maintain supervisor observation reports, candidate evaluations of mentor teachers and supervisors as well as mentor teacher and supervisor evaluations of teacher candidates.

Assist with the distribution of program surveys to current students, graduates, employers and master teachers; Compile and report data based on course evaluations.

5% - Special Projects

Working with the Education Department Manager on special projects as needed.


Required Qualifications

• Proven ability to work independently, to set priorities and complete work assignments in a timely manner and meet stringent deadlines.

• Proven ability to maintain strict confidentiality of information being processed or viewed.

• Proven ability to manage details of sensitive information.

• Proven ability to manage large volumes of information and to extract, compile and present pertinent data effectively and accurately.

Preferred Qualifications

• Demonstrated proficiency with the computer applications FileMakerPro, Adobe, Excel, as well as the general Microsoft suite applications. Proficiency in Google Docs, Drives and Calendars

• Proven record of strong communication skills to interact effectively with a wide and diverse audience such as school principals, faculty members, individual and large groups of students, and fellow members of the campus community.

• Comprehensive knowledge of university administrative policies and procedures (e.g., Financial Affairs, Registrar's Office, Facilities, and Learning Technologies.)

Special Conditions of Employment

• Must possess a valid license to drive in the state of California and possess reliable transportation in order to transport supplies and/or refreshments to off-campus events
