Location: Mynt Headquarters, 111 Mission Street, Santa Cruz, CA 95060 

Department:  Office (On-Site in Downtown Santa Cruz)

Supervisor: Finance Manager 

FLSA Status: Non-Exempt

Job Purpose

The Administrative Assistant offers an opportunity to contribute to the success of the company by providing essential administrative support to our team. The ideal candidate will be highly organized, detail-oriented, and capable of managing various administrative tasks efficiently. 

Job Duties & Responsibilities

  • Perform various daily accounting functions; such as accounts payable and accounts receivable.
  • Perform account reconciliations for bank, credit cards, etc. 
  • Assist in monthly client billing and vendor billing.
  • Provide administrative support to team members, including scheduling meetings, managing calendars, and handling correspondence.
  • Assist in the preparation and distribution of documents, reports, and presentations.
  • Maintain accurate records and databases, including client information, project files, and internal documents.
  • Coordinate travel arrangements and accommodations as needed.
  • Assist in the organization and coordination of project meetings, including preparing agendas and taking meeting minutes.
  • Help maintain office supplies inventory and ensure necessary supplies are stocked.
  • Handle general office duties, such as answering phones, watering plants, maintaining common spaces including stocking the kitchen and managing incoming and outgoing mail.
  • Coordinate office/building maintenance services such as cleaning, landscaping, and HVAC. 
  • Collaborate with other administrative staff to ensure smooth office operations.

Skills & Qualifications

  • High school diploma or equivalent; associate's or vocational training preferred.
  • Proven experience as an administrative assistant or in a similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) or Google Workspace (Sheets, Docs, Drive, Gmail, Calendar) and other relevant business software.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Discretion and professionalism when dealing with sensitive information.
  • Familiarity with engineering terminology and concepts is a plus.
  • Willingness to learn and adapt to new tasks and responsibilities.
