Manager of Tennis Club of Rio del Mar

Description:

The Tennis Club of Rio del Mar (TCRDM) is a small tennis club with five courts, a swimming pool and a workout room. The TCRDM Club Manager serves as the primary coordinator for club operations. The Club Manager reports to the TCRDM Board of Directors and serves as the primary contact for the support staff of four, and the chairs of the TCRDM Board sub-committees. The club manager`s on-site work hours will be 25 hours to 32 hours per week as needed including some weekends and evenings. The club manager will ensure that team support staff is on-site as needed during the week including Saturdays and Sundays. 

MAJOR DUTIES & ESSENTIAL FUNCTIONS

Manage the communications and coordinate staff so that phone calls and other communications are answered promptly and professionally; provide club service coverage to members and visitors; oversee and maintain club safety and security; oversight and maintenance of key fobs; collect, assess and convey members` suggestions for club operation improvements.

Create and maintain the Club Manager Desk Guide and daily task guide for the manager and support staff detailing the necessary duties to operate the club

Manage the court reservation system (e.g. TopDog) while monitoring court usage. Train support staff in TCRDM operating procedures

Security: Maintain the IIPP (Incident & Injury Prevention Plan), and train the support staff in methods for promoting safety; conduct regular safety inspections according to the IIPP; ensure that those responsible for private functions understand their obligations to follow TCRDM safety procedures

Financial: provide payroll information to the accounting staff or TCRDM treasurer when necessary, maintain a schedule of expenses for ongoing payables; cooperate with the Treasurer in the collection of guest fees or delinquent fees or other club revenue; make regular bank deposits, ensure accurate invoices are prepared for vendor/contractor supply and service orders; process new employee intake documents according to state and federal law (i.e. forms and information to complete the  I-9, W-2, and W-4 processing).

Maintenance, Grounds and Purchasing: coordinate the overall cleanliness of the club according to the guidelines of the Club Manager Desk Guide;  monitor wear and tear of club equipment and report to the TCRDM Board when appropriate; inspect bathrooms for safety/cleanliness and coordinate so that bathroom supplies are in stock (i.e. toilet paper, soap seat covers, etc.); provide coordinated guidance to all contractors to the club which include the janitorial service, pool service, tennis court cleaning service, landscaping service,  and any other contractors that the TCRDM Board deem necessary. 

Club Membership: maintain a log of queries from members of the public interested in joining the club while maintaining the Wait List, Non-share Membership List, and Share Membership List; provide information concerning TCRDM club assets and services to prospective members; ensure that club support staff is available to conduct tours of the club premises when prospective members visit; conduct exit surveys of departing members; support club social functions as requested by the TCRDM board, ensuring supplies, staff and equipment is prepared and accessible for those functions

Remind members and staff of TCRDM rules and policy when necessary, in a professional, courteous manner.

Cooperating with the TCRDM pro who oversees any club training clinics conducted by other trainers.

Attend TCRDM Board meetings or TCRDM membership meetings when requested by the TCRDM Board

Perform other duties as assigned.

KNOWLEDGE REQUIRED  

General knowledge of accounting practices, standard office software used such as MS Office, Constant Contact and other related Google products; desirable skills include hospitality experience; organizational skills which include the coordination of scheduled events or overuse of club facilities.

Ability to work effectively with support staff and TCRDM board of directors.

SUPERVISORY CONTROLS 

This is an independent position requiring minimal direct guidance, since the position requires knowledge of effective management skills with staff. The Board of TCRDM will provide the employee policies to the club manager to use as guidance in managing and leading support staff. The manager will be responsible for maintaining the Safety Plan detailed in the IIPP. The Club Manager will be responsible for completing performance reviews of the club support staff using the Club Employee Appraisal system.

MEMBER SERVICES

Providing services to the club membership and their accompanying guests, prospective members inquiring about club services, vendors, contractors, insurance providers, and other business-related professionals.

PHYSICAL DEMANDS

Requires lifting at least 25lbs to manage club equipment, covering the tennis courts as needed, uncovering and covering the pool each day on duty.
